From the AI agent playbooks for hairdressers and salons

Read this first

Data rule for every job here: no client detail goes into any AI tool or connector. That means no names, phone numbers, emails, appointment histories, photos, and above all no allergy, patch-test, skin or scalp, pregnancy, medical or colour-formula detail. The ICO lists "data concerning health" among the special categories of personal data, which need extra care. Use placeholders such as [CLIENT FIRST NAME] and fill them in yourself, in your booking system or your own message. Do not connect an assistant to your booking system's client records or your consultation and patch-test records. Where a job needs a client reference, it is a code from your booking system, never a name. A code is still personal data if you can link it back to a client, so keep the sheet to codes, dates and counts and read your tool's data terms first.

Safety rule for every job: a message about a skin or allergic reaction, a burn, an injury, feeling unwell after a treatment, or damage is a phone call, never a drafted message. The assistant writes no reply to it, puts it at the top of your list, and you call the client. Whether a reaction is serious is not a decision for the assistant: in an emergency in the UK call 999 (the NHS says 999 is for life-threatening emergencies). For fire or smoke call 999. For a gas smell in Great Britain, the National Gas Emergency Service is 0800 111 999 (National Gas says 24 hours a day and free to call); in Northern Ireland the gas emergency number is different, so check with your gas supplier.

Regulated-work rule: a cancellation fee, deposit or no-show charge is a term of your contract with the client, and you decide it. The assistant uses only the exact wording you give it, states no amount or rule of its own, and never decides to charge anyone.

Agent job 1 of 5Score 6/10

The wording for a new client's message schedule (confirmation, reminder, thank-you, rebook), for your booking system to send

A new client gets a confirmation, a reminder, a thank-you and a nudge to rebook, and writing each one in your own voice is the kind of job that gets skipped. Four short messages written once, in your voice, can be loaded into your booking system or messaging app so they go out the same way every time. The assistant writes the wording only: your system sends it and merges the name, so the assistant never sees a client.

Time: about an hour to write and load, then a few minutes a quarter to review

You will need: your booking system's message templates or your messaging app, a short "Salon facts" document of your own (opening hours, how long each service takes, and your deposit and cancellation policy in your own words; job 3 builds a full one)

Works with: any chat assistant that can read one document and write drafts. Check your tool's current features. It sends nothing, and needs no connection to your booking system.

Set it up

  1. Decide the schedule for yourself: a confirmation when a booking is made, a reminder the day before, a thank-you after the visit, and a rebook nudge after the number of weeks that suits your services.
  2. Have the assistant write each message in your voice, 30 to 50 words, using only the placeholders [CLIENT FIRST NAME], [DATE], [TIME], [STYLIST FIRST NAME], [BOOKING LINK] and [YOUR POLICY WORDING] (copied from your own booking policy).
  3. Decide which messages are only information and which ask the client to do something. A confirmation and a reminder that only give the appointment facts are service messages. A thank-you that also asks for a review, and a rebook nudge, go further and may count as marketing, which has its own consent rules; the ICO page in the UK notes explains both.
  4. Load the messages into your booking system's templates, or your messaging app, yourself. Turn on a message that may be marketing only for clients who have agreed to receive it, or who fit the rules for your own previous customers, and make sure each one has a way to opt out.
  5. Book a test appointment for yourself and read each message as it arrives.
  6. After a month, check how many clients rebooked and whether anyone complained, and edit the wording, not the rules.

The instructions to give your agent

Copy, paste, then fill in the [brackets]
I am a UK hairdresser. From the "Salon facts" document below, write four short messages in my voice, each 30 to 50 words: (1) booking confirmation; (2) reminder the day before; (3) thank-you after the visit; (4) a gentle nudge to rebook. Use only these placeholders: [CLIENT FIRST NAME], [DATE], [TIME], [STYLIST FIRST NAME], [BOOKING LINK] and [YOUR POLICY WORDING]. Keep messages 1 and 2 to the appointment facts only. Do not add offers, discounts or any claim about results. Do not give any advice about allergies, skin, colour or aftercare. Do not include any client's details. Do not send anything.

✓ Check before you rely on it

  • Check messages 1 and 2 contain only the appointment facts and your own policy wording.
  • Check messages 3 and 4 are only switched on for clients who have agreed, or who fit the rules for your own previous customers, and that each has an opt-out.
  • Check a test booking produces each message with the right name, date and time merged in.
  • Check no message mentions any treatment, product, patch test or health matter.

✕ What it will not do

  • Send a message, merge a name or see any client record.
  • Decide who may be messaged for marketing.
  • Give aftercare or allergy advice.

⏸ Approval gates

  • Drafted or flagged for you: the four message wordings.
  • Only you decide: the schedule, which messages go to whom, and what each says.

🔒 Data handling

The assistant sees wording and placeholders only. Client names, numbers and booking dates stay in your booking system. Record opt-outs straight away and keep them off the list.

UK notes extra

  • ICO: marketing and data protection in detail (service messages and direct marketing; the ICO says the guidance is under review).
  • ICO: electronic mail marketing (PECR); the ICO says this guidance is under review.
