AI for hairdressers and salons: 5 jobs to hand to AI this week
Five quick wins for a busy salon. Each uses a free AI chat tool and takes minutes, and you stay in charge of what goes out.
Job 1 of 5ChatGPTGeminiCopilot

A clear policy, shown before people book, cuts no-shows and awkward conversations.
Time: About 10 minutesCost: free tools work
A free AI chat tool (ChatGPT, Gemini or Copilot)
Steps
Decide your rules first: deposit or not, how much notice to cancel, what happens with late arrivals and no-shows.
Paste the prompt below into your AI tool with your rules filled in.
Read the result carefully. Remove anything you didn't ask for.
Put the policy on your booking page or app, in your Instagram highlights and on your website, so clients see it before they book.

Write a short, friendly booking and cancellation policy for a [UK] hair salon.
Plain [British] English, under 200 words, with short headings.
Use ONLY these rules (don't invent extra fees or rules):
- Deposit: [e.g. £10 for appointments over 1 hour, taken when booking]
- Cancellation notice: [e.g. 48 hours to move or cancel and keep your deposit]
- Late arrival: [e.g. more than 15 minutes late we may need to shorten or rebook]
- No-show: [e.g. deposit kept]
- Colour clients: [e.g. patch test needed before first colour appointment]
Tone: warm and fair, not telling-off. End with how to contact us: [phone / Instagram / email].
✓ Check before you send
Every rule matches what you decided, with no extra fees added.
The fees are reasonable and clearly explained.
Clients will see it before they pay a deposit.
UK notes extra
Terms must be fair and made clear to clients upfront. Unfair or hidden terms may not be enforceable under the Consumer Rights Act 2015. CMA guidance on unfair contract terms.
If you take deposits online, explain the refund rules in the booking flow, not only in small print.

Job 2 of 5ChatGPTCanvaMeta Business Suite
Turn this week's photos into a week of Instagram posts
You already take great before-and-after photos. AI can do the writing so posting doesn't eat your evening.
Time: About 15 minutes for a whole weekCost: free tools work
A free AI chat tool (ChatGPT, Gemini or Copilot). Optional: Canva's free plan for simple graphics.
Steps
Pick 5 to 7 photos from this week that clients have agreed you can post.
For each, jot one line: the service, the products or technique, and anything special ("first time going blonde", "lived-in balayage").
Paste the prompt below with your list into your AI tool.
Edit captions so they sound like you, then schedule them in Instagram (Meta Business Suite has a free scheduler) or post daily.
The exact prompt
Copy, paste, then fill in the [brackets]
I run a hair salon in [town], UK. Write Instagram captions for these posts.
For each: a hook first line, 1–2 short sentences about the look, a soft call to action (book via [link in bio / booking app]), and 5–8 relevant hashtags including [town] ones.
Plain [British] English, friendly, not cheesy, no more than 2 emojis per caption.
Don't mention client names. Don't make claims about products (e.g. "repairs damage") unless I wrote them.
Also suggest the best order to post them across the week.
Posts:
1. [service / look / detail]
2. ...
✓ Check before you send
The client agreed to the photo being posted, and no names or tags appear unless they're happy with that.
No product claims you can't back up.
Hashtags make sense for your area and your services.

Job 3 of 5ChatGPTWhatsApp Business
Write aftercare and rebooking messages you can reuse
A short aftercare message makes clients feel looked after, and a friendly rebooking nudge fills your diary.
Time: About 15 minutes, once, then reuse foreverCost: free tools work
A free AI chat tool, then save the results as quick replies in WhatsApp Business (free) or your booking app's message templates
Steps
List your main services: colour, balayage, cut and finish, keratin, and so on.
Paste the prompt below with your list into your AI tool.
Check the aftercare tips against the product manufacturer's instructions. The AI doesn't know your exact products.
Save each message as a quick reply (WhatsApp Business: Settings, Business tools, Quick replies) or as a template in your booking app.
The exact prompt
Copy, paste, then fill in the [brackets]
Write short reusable messages for a [UK] hair salon, plain [British] English, warm, under 60 words each:
A) Aftercare message sent the day after each of these services: [list services]. Give 2–3 general care tips each and say "follow the advice on your products". No medical claims.
B) A friendly rebooking reminder sent [6] weeks after a cut and [8] weeks after colour, with our booking link: [link].
C) A patch-test reminder for new colour clients, asking them to come in for a patch test before their colour appointment, as per our product instructions.
Use [Name] as the placeholder for the client's first name.
✓ Check before you send
The aftercare tips match the instructions for the products you actually use.
Patch-test timing follows your colour brand's instructions. Many say at least 48 hours before, but always check yours.
Rebooking messages only go to clients who are happy to receive them.
UK notes extra
Messages about a client's own appointment are generally fine. Marketing messages (offers, promotions) by text or email usually need the client's consent. ICO: direct marketing rules.
Follow your colour manufacturer's patch-test instructions and keep a record. Hair dye allergies can be serious. NHS: contact dermatitis.

Job 4 of 5ChatGPTClaude

Steps
Copy the review. For a complaint, check what happened with the stylist first.
Run the prompt below.

Questions hairdressers & salons ask
Is it safe to put client details into AI?
Use first names or nothing at all, and never paste allergy or health details from consultation cards. Your booking app is the right place for client records. AI is just for writing the words.
Which AI tool is free?
The free versions of ChatGPT, Gemini, Copilot and Claude all handle captions, policies and messages. Your booking app's own reminder features may also be included in your plan, so check before paying for anything else.
Will my captions sound like a robot?
They will if you post the first draft. Tell the AI your tone ("chatty, a bit cheeky, Northern"), give it two of your old captions as examples, and always change a line or two before posting.
Can I use AI images of hairstyles on my Instagram?
Avoid it. Clients book on your real work, and AI or heavily filtered images of results can mislead. Post photos of your own clients' hair, with their permission.
Privacy tip: don't paste customers' full names, addresses or other personal details into AI tools unless you need to and you've checked the tool's privacy settings.
