A Monday list of quiet leads with follow-up drafts ready
Most enquiries don't say no; they just go quiet while the couple compares photographers, and the nudge never gets written because you're editing. A Monday list of who has gone quiet, with a gentle draft for each, means chasing happens weekly instead of never.
Set it up
- Keep a simple leads sheet: name or reference, shoot type and date, date of your last reply, quote sent (Y/N), status (New, Quoted, Quiet, Booked, Lost), and your notes. Add a "Do not chase" column.
- Write two short follow-ups you've sent before that worked, in your own voice, and keep them under the instructions. One is for "sent a quote, nothing back"; one for "had a call, nothing back".
- Create a Monday 7am routine that reads the sheet, picks leads with status Quoted or Quiet whose last reply is more than your chosen number of days old, and saves a draft for each in your mailbox.
- Have it add a "Monday review" tab: lead, how long quiet, what you last said, the draft's one-line aim.
- Read the drafts, edit, send from your mailbox, then update the sheet yourself. Mark leads you're letting go as Lost.
- At month-end ask for a count of leads by status so you can see where they stall.
The instructions to give your agent
I am a photographer. Every Monday at 7am, read my "Leads" sheet. Find leads with status "Quoted" or "Quiet" whose "last reply" date is more than [N] days ago and whose "Do not chase" box is empty. For each, save a draft email in my drafts folder in the style of my two sample follow-ups. Use only facts in the sheet: shoot type, date and what I last said. Do not mention prices unless the sheet records the quote. Never invent availability or urgency. Add one row per lead to a "Monday review" tab. Do not send anything. Do not change the Leads sheet. If a lead has already had two follow-ups, list it under "Consider letting go" and do not draft a third.
✓ Check before you rely on it
- Check each draft against the sheet: right name, right date, right shoot type.
- Make sure no draft says someone else is interested in the same date unless that's true.
- Check leads you've already lost or booked aren't being chased.
- Check the "Do not chase" box actually blocks a test row.
✕ What it will not do
- Send a follow-up.
- Change your leads sheet.
- Invent urgency or a competing booking.
- Chase a lead more than twice.
⏸ Approval gates
- Drafted or flagged for you: follow-up drafts, the Monday review tab, leads to let go.
- Only you decide: whether each nudge goes, what you say, who is lost, who you offer a discount.
🔒 Data handling
The sheet holds names and event details. Keep notes factual, share the sheet with nobody else, and delete lost leads after the period you tell clients in your privacy notice.
