From the AI playbook for energy assessors

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 1 of 7ChatGPTGemini

Make a blank evidence tick-sheet from EASOB’s current minimum evidence list for domestic energy assessments, to tick yourself before you lodge

From 1 October 2026 EASOB’s minimum evidence requirements for domestic energy assessors apply, and the scheme rules say an auditor must be able to replicate the certificate from your evidence, so it must be unique to the property and the visit date. A scheme can audit any certificate, and the Elmhurst guide says a second failed audit leads to a temporary suspension on lodging. A blank tick-sheet laid out from EASOB’s own list gives you one page to go through on each job. The AI lays out the table from the list you paste. It never looks at a photo, floor plan or site note, never says whether your evidence is enough, and never completes or comments on any declaration: you tick every box yourself.

Time: About 20 minutes once; a few minutes per job to tick itTool cost: you can start with a free AI tool

An AI chat tool you already use, then your own word processor or spreadsheet (the AI sees only the headings of the official list, never any job evidence)

Steps

  1. Download the current EASOB Minimum Evidence Requirements for your assessment type from the EASOB website. Check the footer states the version and the date it takes effect (the DEA list at the time of writing is v1.1, effective 1 October 2026) and note that other types (OCDEA, NDEA, DEC, ACEA) have their own lists.
  2. Copy the category headings and the “Required evidence” lines into your own note exactly as written, including the notes about photographs and documentary evidence. Do not retype them from memory.
  3. Paste that copied text into the prompt. The AI returns a one-page table with a row for each line you pasted, grouped under the same headings, and blank columns: “Obtained (tick)”, “Where saved (folder or file name)”, “Dated on the visit date (tick)”, “Not applicable: reason”.
  4. Print it or keep it as a template. On each job, tick it yourself from your own folder before you lodge, and keep the completed sheet with the evidence for the retention period your scheme sets.
  5. Re-copy the list whenever EASOB publishes a new version, and ask your own scheme about anything the list leaves open. This sheet does not replace your scheme’s own audit rules.

The exact prompt

Copy, paste, then fill in the [brackets]
I am a domestic energy assessor in England. Below is the text of the EASOB Minimum Evidence Requirements for DEAs, copied word for word from the current PDF (category headings and required-evidence lines, including the introductory notes on photographs and documentary evidence).

Task: lay out a one-page blank tick-sheet as a table. Keep the same category headings, in the same order. Make one row for each required-evidence line, using the wording exactly as I give it, with these blank columns: "Obtained (tick)", "Where saved (folder or file name)", "Dated on the visit date (tick)", "Not applicable: reason". At the top put "Job reference: [JOB REF]" and "Visit date: [DATE]". At the bottom put "Completed by (assessor): [NAME]" and "Date". Plain English. Do not add, remove, reword, shorten or interpret any line, do not add examples, do not say whether any evidence is enough, and do not comment on any declaration. Leave every box blank.

RULES FOR THIS CHAT: I will give you only my own text, headings, dates and figures that I have typed in. I have not included, and will not include, any occupier or customer name, address, email or phone number, any property address, photograph, floor plan, site note, measurement, evidence file, certificate or report, any EPC or retrofit assessment data, any scheme login, password or lodgement detail, or any other personal or confidential information. Use the blanks [OCCUPIER], [CLIENT], [PROPERTY] and [JOB REF] only. Do not ask for them and do not invent any. You have no part in any assessment: do not carry out, check, correct or comment on any survey, RdSAP or SAP data, calculation, condition or ventilation finding, evidence, floor plan or rating, do not say whether any evidence is enough, and do not complete, word or comment on any declaration or lodgement. Do not say what any scheme, regulator or standard requires. Do not do arithmetic or count dates: copy every figure and date exactly as I typed it, and leave totals for me. Where a fact, date or decision is needed, leave the field blank or write [ASSESSOR TO COMPLETE]. Everything you write is a blank layout or a draft that I will read, complete and approve myself.

✓ Check before you send

  • Every row on the sheet matches a line in the current EASOB PDF word for word and in the same order, and the version and effective date on the PDF match the version you used.
  • The sheet is blank: no tick, file name, photo description or example appears on it, and the AI added no line of its own.
  • The sheet is for a DEA assessment only; if you do another type (for example an OCDEA or a DEC) you have used that type’s own EASOB list.
  • You still read your scheme’s own audit and declaration rules; this sheet does not replace them and the AI said nothing about the declaration.
  • No photo, floor plan, site note or occupier detail went into the AI tool.

UK notes extra

  • England and Wales: the 2012 Regulations say “An energy assessor must be a member of an accreditation scheme approved by the Secretary of State.” Scotland and Northern Ireland have their own regimes, which this page has not read. legislation.gov.uk: Energy Performance of Buildings (England and Wales) Regulations 2012, regulation 22 (England and Wales).
  • EASOB’s Minimum Evidence Requirements for DEAs (v1.1, effective 1 October 2026) open: “An auditor must be able to replicate the EPC using a combination of the evidence requirements below.” They also say: “This is a minimum evidence list only; additional evidence may be required depending on the property being assessed and its specific characteristics.” The list is grouped under floor plan, site notes, photographic requirements (including elevations, construction, insulation, openings, lighting, heating, water heating, ventilation, renewables and meters) and documentary evidence. EASOB: Minimum Evidence Requirements, DEA (PDF, v1.1, effective 1 October 2026).
  • The same list says: “Documentary evidence must not be used as a default substitute for a site visit or photographic evidence where photographic evidence is reasonably obtainable, and its use should be recorded in the site notes along with the reason photographic evidence was not obtained.” Those are decisions for you, not for the AI. EASOB: Minimum Evidence Requirements, DEA (PDF, v1.1, effective 1 October 2026).
  • The Scheme Operating Requirements (v1.14) say “All evidence provided must be unique to the property visited and be reflective of the nominated date”, and that schemes must ensure that before lodgement the assessor “makes a declaration confirming that the minimum evidence required” “has been obtained and retained”. ecmk says the minimum evidence guidelines “take effect for all inspections carried out on or after” 1 October 2026 and that an assessor declaration in assessment software follows in November 2026. EASOB: Scheme Operating Requirements for the production of Energy Certificates, Level 2, 2026 edition, v1.14 (PDF). ecmk (an accreditation scheme): government updates to the scheme operating requirements for energy assessors in England and Wales (a scheme’s statement).
  • Silence is not permission: the EASOB list and the SORs do not mention AI. Ask your own scheme before you use AI for anything near an assessment; this job uses AI only to lay out a blank table from text you paste, and never to read evidence or word a declaration. EASOB: documents for accreditation schemes and assessors (home page; lists the Scheme Operating Requirements and the Minimum Evidence Requirements).
