Keep a start-date and check record for every new employee and volunteer, so nobody starts before the check has come back (England, group and school-based providers)
The problem
The DfE says the 2026 EYFS requires enhanced criminal records checks for volunteers, including those who are supervised, and prevents new employees from commencing employment before receiving their check. A record with a row per person, showing the role, when the check was applied for, when the result was received and the planned start date, stops a start date being fixed before the result is in. AI can build the record and a one-page procedure from your own wording. The registered person decides who needs a check, what any result means and when someone may start: the AI does none of that, and no names or numbers go into the AI tool.
What AI does
AI turns your own safer recruitment steps into a record template, one row per new person labelled without names, so you can see that no one starts before their check is back. The registered person decides which people need checks and how any result is handled (England, group and school-based providers).
Time
The steps, in short
- Read the relevant part of the official EYFS framework.
- Write down your own safer recruitment steps and who does each.
- Have AI draft a record template using labels instead of names.
- The registered person checks it against the framework, then uses and reviews it every term.
