From the AI playbook for parochial church councils

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 3 of 10ChatGPTGemini

Write reminder wording for safeguarding training dates and a blank tracker layout, with no person or DBS detail in the AI tool

Church minutes show the safeguarding lead chasing training and DBS renewals, with a dashboard or training hub holding the record. The chasing is the part that eats time: a polite first reminder, a second one and a thank-you once the course is done, each with the right booking link. The AI writes only blank wording with placeholders. It never sees who is due, what is outstanding or anything from a DBS check, it does not say who needs a check or training, and it cannot judge safeguarding: the diocese and the National Safeguarding Team do that, and the real record stays in the diocese's own system.

Time: About 30 minutes once, then 5 minutes per roundTool cost: you can start with a free AI tool

A free AI chat tool, then your own word processor (no parishioner, pastoral, safeguarding or personal details ever go into the AI tool)

Steps

  1. Ask your parish safeguarding officer or diocesan safeguarding adviser which record the diocese holds (a dashboard, a training hub or a database) and what reminders it already sends. Use that record, not a spreadsheet of your own, for names, dates and DBS status.
  2. Write the wording you want in plain language: what the reminder asks, who to contact, how to book, and what to do if the person has already done it. Use only the placeholders [NAME], [REQUIREMENT AS NAMED BY YOUR DIOCESE], [DUE DATE], [HOW TO BOOK] and [PARISH SAFEGUARDING OFFICER].
  3. Paste the wording requests into the prompt. The AI returns three blank messages (first reminder, second reminder, thank you) and a blank tracker layout whose columns are role, requirement as named by your diocese, due date, date done and notes, with no rows filled in.
  4. The parish safeguarding officer fills in each message and any tracker by hand, outside the AI tool, from the diocesan record. Do not paste any name, check result, case or concern into the AI tool.
  5. Keep any safeguarding concern or disclosure out of this process entirely and follow your diocese's reporting route.

The exact prompt

Copy, paste, then fill in the [brackets]
I am the secretary of a Church of England PCC in England. I want blank wording for reminders about safeguarding training dates, to be filled in by our parish safeguarding officer by hand. I am giving you no information about any person.

Task: write (1) a first reminder message, (2) a second reminder message and (3) a short thank-you message, each of about 60 words, in a polite, plain tone. Use ONLY these placeholders: [NAME], [REQUIREMENT AS NAMED BY OUR DIOCESE], [DUE DATE], [HOW TO BOOK], [PARISH SAFEGUARDING OFFICER]. Then produce a blank tracker layout with columns: role; requirement as named by our diocese; due date; date done; notes; with no rows filled in. Do not say who needs training or a DBS check, what a DBS check shows, what happens if training is not done, or whether anyone is suitable. Do not add any safeguarding guidance.

RULES FOR THIS CHAT: I will give you only my PCC's own rules, headings, dates, figures and anonymised notes. I have not included, and will not include, any name, address, phone number, email, date of birth or other detail about any parishioner, member of the congregation, child, volunteer, clergy member or trustee, or anything about anyone's health, family, pastoral care, safeguarding, DBS check or training record. Do not ask for any, and do not invent any: use the blanks and roles I give you, such as [VICAR], [CHURCHWARDEN A], [SECRETARY], [TREASURER], [PERSON] and [NAME]. Do not give legal, safeguarding, faculty, charity-law, tax, Gift Aid or data-protection advice, and do not say whether anything is lawful, valid, compliant, adequate or safe. Do not do arithmetic or count dates: copy every figure and date exactly as I typed it. If something is unclear, write [FOR THE PCC TO DECIDE] instead of guessing.

✓ Check before you send

  • The messages contain only the placeholders listed and no real name, date, course or check result.
  • The record of who is due and what is outstanding is held in the diocese's system and filled in by the parish safeguarding officer by hand.
  • No DBS result, training record, concern or case went into the AI tool.
  • The requirement names in the messages are those your diocese uses, not the AI's.
  • Questions about who needs a check or training went to the diocesan safeguarding adviser or the National Safeguarding Team.

UK notes extra

  • England only: a PCC is a Church of England body and its rules are the Church Representation Rules and the Parochial Church Councils (Powers) Measure 1956. The Church in Wales has its own constitution and regulations for parochial church councils, and this job does not cover them. Church in Wales: Constitution, Chapter IV C, parochial administration (the Church in Wales has its own rules; not covered here). In Scotland and Northern Ireland the Church of England's PCC rules do not apply; charity regulation there is by OSCR and CCNI. OSCR: the Scottish Charity Regulator (Scotland). Charity Commission for Northern Ireland (Northern Ireland).
  • Safeguarding and DBS: the Church of England's National Safeguarding Team publishes Codes of Practice, policies and training, and says there are safeguarding advisers in every diocese and safeguarding officers in every parish. This job gives no safeguarding advice. Church of England: safeguarding, including the National Safeguarding Team and diocesan safeguarding advisers (England).
  • The Safeguarding (Code of Practice) Measure 2021 and the Rules (Rule M5(3)) are the Church's law on the code; read them or ask your diocese. legislation.gov.uk: Safeguarding (Code of Practice) Measure 2021 (Church of England). Church of England: Church Representation Rules online, Part 9 model rules M1 to M42 (England).
  • DBS and training records are personal data (UK GDPR); Rule 72 requires personal data held under the Rules to be held securely. Keep them out of AI tools. Church of England: Church Representation Rules online, Part 8 (England; Rule 72 personal data, Rule 76 email, Rule 83A remote meetings). ICO: guidance on AI and data protection (UK).
  • East Barnet, St Peter's and St David's minutes show parishes keeping training and DBS records in a hub, a dashboard or by follow-up; the minutes do not say what any record should contain. St Mary's East Barnet PCC minutes (file dated 30 June 2025; a church's own minutes). St Peter's church APCM minutes, 11 May 2025 (a church's own minutes). St David's Exeter approved APCM minutes, 19 May 2025 (a church's own minutes).
  • Reminder messages go only to people who hold a role in your parish; follow your diocese's data protection guidance on how you contact them. ICO: advice for small organisations (UK).
