Turn the actions in your minutes into a tracker and draft a reminder to send before the next meeting
Every meeting produces actions with owners and dates, and the next meeting opens with a report on them. If the actions only live in the minutes, someone has to read them back before each meeting to see what is due or overdue. AI can sort the actions table you paste into a tracker ordered by deadline and draft a short, polite reminder, using roles and with names left as blanks. It cannot judge whether a missed action matters or what should be done about it: it only keeps the list and the wording tidy.
Steps
- Copy only the actions table from your approved minutes: minute number, task, role and deadline. Do not copy any other part of the minutes.
- Replace any name with the role (Chair, Headteacher, Governor A). Remove any action that touches a pupil, a member of staff or a Part Two matter and track those by hand.
- Paste the table into the prompt with the date of the next meeting and the date you want to send the reminder.
- Check the tracker against the signed minutes: every action present, the deadline correct, nothing added.
- Fill the names into the reminder yourself in your own mail system and send it to the individuals, with the Chair copied if that is your board's practice.
- After the meeting, update the status column from the reports and carry the open actions into the next agenda.
The exact prompt
I am a clerk to a school governing board in England. Using ONLY the actions table below, make an action tracker and a short reminder message. You must NOT add any action, change any deadline, comment on whether an action matters, or suggest consequences for an action not being done. Roles are used in place of names; keep the roles and leave a blank [NAME] in the message for me to fill in. Next meeting date: [text]. Date the reminder will be sent: [text]. Actions from the minutes, one per line, as minute number, task, role, deadline: [text]. Produce: (1) a tracker table sorted by deadline with columns minute number, task, role, deadline and status (blank), with overdue actions listed first only if the deadline is before the reminder date I gave; (2) a reminder message of no more than 90 words, starting 'Dear [NAME]' and listing that person's actions; (3) a list of any action in my table with no deadline or no role, for me to resolve.
✓ Check before you send
- Every action in the tracker is in the signed minutes with the same deadline.
- The reminder has blanks for names and none of your private notes in it.
- Any action that touches a pupil, staff member or confidential item is tracked by hand and is not in the tool.
- You have sent the reminders yourself, and the Chair is copied if your board expects it.
- Open actions are carried onto the next agenda.
UK notes extra
- This job is for England. The same pattern works in Wales, Northern Ireland and Scotland, but the meeting rules differ; see the Welsh and Northern Ireland guides. GOV.WALES: school governors' guide to the law (Wales). Department of Education: the governor guide (Northern Ireland).
- The messages are internal to the board, so the marketing consent rules do not apply, but they still hold personal data about governors: use your board's approved mail system. ICO: advice for small organisations (UK).
- Ask A Clerk is one practising clerk's site and NAGAS is a trade body: both describe the duty, not a standard that applies to every board.
