From the AI playbook for freelance copywriters

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 2 of 10ChatGPTGemini

Draft the overdue invoice reminders, from a friendly nudge to a formal final notice, for you to check and send

In the ProCopywriters 2026 survey, 51% of freelance respondents had at least one client pay an invoice late in the past twelve months. Many late payers are not fraudsters: the invoice is lost, wrong or waiting on someone. The awkward part is the tone and the timing of each reminder. AI can draft the sequence from your own invoice facts and payment terms, keeping each message short, calm and in the right order. It cannot say that interest is due, that a debt is valid or what a court will do: those depend on the contract and the law, and you check them with your adviser before any formal letter goes.

Time: About 30 minutes for the sequence, then 5 minutes per invoiceTool cost: you can start with a free AI tool

A free AI chat tool, then your own email or messaging app

Steps

  1. Before any reminder, check the invoice yourself: the right client name and address, the purchase order number if they asked for one, the amount, the bank details, the due date from your agreed terms, and whether it went to the right person. Many late invoices are late because of the invoice. Resend it if in doubt.
  2. Write down your agreed payment terms and the dates you will send each message: for example a friendly nudge a few days after the due date, a firmer message a week later, then a formal final notice. Choose them yourself.
  3. Put the facts in neutral blanks: [CLIENT], [INVOICE NUMBER], [AMOUNT], [DUE DATE], [PROJECT]. Do not paste the client's name, contact or the project's confidential details into the tool.
  4. Paste your terms and dates into the prompt and ask for the three messages and a log line for each. Delete anything that threatens, says interest is due or states a legal position.
  5. If the client says the work or the invoice is disputed, stop the sequence and deal with that first. Ask your solicitor or a debt adviser before any letter that mentions interest or court.
  6. Fill in the blanks by hand and send each message yourself. Log the date and the reply.

The exact prompt

Copy, paste, then fill in the [brackets]
I am a UK freelance copywriter. Using ONLY my facts below, draft three messages about an overdue invoice: (1) a friendly nudge, (2) a firmer second message, (3) a formal final notice before I take further advice.
You must NOT say that interest, charges or costs are due, that the debt is legally owed, that I will start court action, or give any legal advice. Do not threaten. Do not state any law. Do not use any client name or detail: use the blanks exactly as written: [CLIENT CONTACT], [INVOICE NUMBER], [AMOUNT], [INVOICE DATE], [DUE DATE], [PROJECT], [BANK DETAILS], [MY NAME]. Keep each message short, calm and polite, and written from one professional to another.
My agreed payment terms, as written in my contract or quote: [text].
The dates I will send each message: [text].
What I will do next if there is no reply, as a neutral sentence for the formal notice only (for example 'I will take further advice'): [text].
Produce: (1) the three messages with blanks; (2) a log line for each (date, message, reply); (3) a short list of the things I should check before each is sent (invoice correct, sent to the right person, no dispute raised); (4) a list of any sentence that states or implies a legal position, for me to check with my adviser.

✓ Check before you send

  • You checked that the invoice was correct and went to the right person.
  • No message states that interest or costs are due, or threatens action, unless your adviser has confirmed it.
  • No client name, contact or project detail went into the tool and you filled the blanks by hand.
  • You stopped the sequence if the client raised a dispute.
  • You logged each message and reply.

UK notes extra

  • GOV.UK says you can claim interest and debt recovery costs if another business is late paying for goods or a service, that payment dates are normally within 60 days for business transactions and that, if no date is agreed, payment is late 30 days after the invoice or delivery. The Late Payment of Commercial Debts (Interest) Act 1998 behind it applies where both sides are acting in the course of a business and extends to the whole UK. It is not written for consumers. Ask your adviser how it applies to your contract. legislation.gov.uk: Late Payment of Commercial Debts (Interest) Act 1998 (UK). GOV.UK: late commercial payments, interest and debt recovery (UK; the page does not label nations, the Act extends to Northern Ireland). GOV.UK: interest on late commercial payments.
  • England and Wales: the Pre-Action Conduct practice direction covers steps before a court claim between businesses, and the Pre-Action Protocol for Debt Claims applies where the debtor is an individual, including a sole trader. justice.gov.uk: Practice Direction, Pre-Action Conduct and Protocols (England and Wales). justice.gov.uk: Pre-Action Protocol for Debt Claims (England and Wales). Court claim: GOV.UK: make a court claim for money (England and Wales).
  • Scotland has its own court claim routes. mygov.scot: make a court claim for money (Scotland). Northern Ireland: nidirect: small claims process (Northern Ireland).
  • The 51% figure is for freelance respondents to a trade-body survey of 573 people (the post does not say how many were freelance) and is not a neutral count of all copywriters.
  • This job overlaps the late-payment sequence on web-designers; this one stops short of a letter before claim and is written for a copywriter's invoices.
