From the AI playbook for freelance copywriters

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 1 of 10ChatGPTGemini

Lay out a scoped quote from your own estimate, with exclusions, assumptions, timeline and validity

ProCopywriters' pricing guidance says to get the full brief before quoting and lists what a quote should hold: scope, what is not included, assumptions, timeline, fee, payment terms and a validity period, with a short covering note rather than just a number. Setting that out each time is slow and the exclusions are what you skip when you are rushed. AI can put your own estimate into that layout and flag the lines you left blank. It does not write or suggest any copy, does not set your price and does not decide what your terms mean: the numbers and the terms are yours, and your solicitor checks the terms.

Steps

  1. Get the full brief first and ask the questions the guidance lists: scope, timeline, usage of the copy, and whether you are quoting to an agency or the end client. Do not quote before you understand the work.
  2. Make your own estimate by hand: the deliverables, how many rounds of feedback you will include, the days or hours for each from your past jobs, your day rate and any research or meeting time. Work out the fee in a spreadsheet or on a calculator.
  3. Write your own payment terms and validity date in plain words, and what usage of the finished copy the fee covers, as you have decided with your solicitor. Remove the client name, contact and anything confidential from the brief and describe it in neutral terms.
  4. Paste your estimate, terms and the neutral brief summary into the prompt and ask for a quote in the layout the guidance lists and a short covering-note skeleton with blanks for you to fill in your own words.
  5. Check every figure against your spreadsheet, delete any sentence about law or value that you did not write, and check the terms against your contract template.
  6. Send it yourself with a clear validity date, and keep a copy with the version date.

The exact prompt

Copy, paste, then fill in the [brackets]
I am a UK freelance copywriter. Using ONLY my estimate and terms below, lay out a quote.
You must NOT write, suggest or improve any copy, headline or idea. Do not set or suggest a price or discount. Do not say whether any term is legal, fair or enforceable, who owns the copyright, or whether VAT is charged: leave those lines as [TO CONFIRM] if I have not given them. Do not use any client name.
The quote layout I want: scope description; what is included; what is not included; assumptions; timeline; fee breakdown; payment terms; validity period.
Neutral summary of the brief (no client name, nothing confidential): [text].
Deliverables and the number of rounds of consolidated feedback included: [text].
My estimate of time for each and my day rate (I have already calculated the fee by hand; fee total: [amount]): [text].
Usage of the finished copy that the fee covers, as I have decided: [text].
My payment terms and validity date: [text].
Whether I am quoting to an agency or an end client: [text].
Produce: (1) the quote in that layout with blanks as [TO CONFIRM] where I have given nothing; (2) a covering-note skeleton of three short paragraphs with blanks for me to write the value statement myself; (3) a list of anything missing or unclear in my inputs, as questions to put to the client.

✓ Check before you send

  • Every figure matches your own spreadsheet.
  • The 'not included' and 'assumptions' lines are specific to this job and you agree with each.
  • Payment terms and usage match your contract template, and any VAT line has been confirmed with your accountant.
  • No client name, contact or confidential detail went into the tool.
  • The quote has a validity date and you kept a copy.

UK notes extra

  • ProCopywriters' guidance lists the parts of a quote. It is a trade body's advice and is not law. ProCopywriters: Pricing and Quoting guidance (reviewed January 2026; trade-body guidance, not law).
  • Contract law differs across England and Wales, Scotland and Northern Ireland, and a quote can become a contract when accepted. Ask a solicitor to check your terms. Whether to charge VAT is for your accountant. GOV.UK: register for VAT (UK tax).
  • Who owns the copyright in work you write for a client, and what licence they get, is set by your agreement: say it in your terms and ask a solicitor. GOV.UK: ownership of copyright works (UK). GOV.UK: license, sell or market your copyright material (UK).
  • This job overlaps the scope-and-exclusions quote job on web-designers; this one follows a copywriter's quote parts and rounds of feedback.
