From the AI playbook for web designers

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 1 of 15ChatGPTGemini

Write the scope, exclusions and change-order process into your quote

A designer who wrote only the main pages into the contract, and did not cover proofing, ended up in months of changes and a withheld payment. Another says the fix is a written breakdown with the quote and a clause that changes cost extra, confirmed in writing first. A plain scope section is the cheapest protection you have. AI can turn your own list of pages, features and limits into clear wording. You decide what is included, and a solicitor should check the final terms.

Steps

  1. List every page, template and feature you are including, by name, and what you will not do, such as copywriting, photography, extra pages or e-commerce set-up.
  2. Decide what counts as the end of a round of changes, how many rounds are included and what the client must supply and by when.
  3. Decide your change-order rule: any request outside the scope gets a written price and the client's written yes before you start.
  4. Paste your lists into the prompt and ask for a scope section, an exclusions list and a one-paragraph change-order process in plain English.
  5. Read it as a sceptical client would, fix anything vague, add it to your quote or terms, and have a solicitor review your terms before you rely on them.

The exact prompt

Copy, paste, then fill in the [brackets]
I am a UK freelance web designer. Using ONLY my decisions below, write (1) a scope section, (2) an exclusions list and (3) a change-order process, in plain English that a small-business client can understand. Do not invent any price, deadline or deliverable, do not add legal clauses or say what the law requires, and do not soften an exclusion.
Project and client type (business or individual): [text].
Deliverables, by name: pages and templates [list]; features [list]; platform [text]; hosting and domain: included or not [text].
Exclusions: [list, for example copywriting, photos, extra pages, e-commerce, migration, ongoing maintenance].
Rounds of changes included at each stage and what counts as one round: [text].
What I need from the client and by when (content, logos, access, feedback): [list].
When the project counts as finished and what happens after launch: [text].
My change rule: anything outside the scope is priced in writing at £[rate] per hour or a fixed quote, and I start only after the client agrees in writing.
Produce: (1) the scope section, with every deliverable named; (2) an exclusions list; (3) a change-order process of no more than 150 words; (4) a list of the questions a client is most likely to ask about scope, with plain answers from my decisions only; (5) a list of anything in my decisions that is unclear or missing and which I must settle before the quote goes out.

✓ Check before you send

  • Every page and feature is named, not described as main pages or similar.
  • Proofing, rounds of changes, client deadlines and what finished means are all stated.
  • The change-order rule says that a written price and written agreement come before the work.
  • The wording says nothing about what the law requires and adds no clause you did not decide.
  • A solicitor has reviewed your terms before you rely on them for a dispute.

UK notes extra

  • The Aubergine Legal guide says briefs change and projects get delayed, so terms should protect you for additional work and set deadlines for each stage, for you and the client. It is a law firm guide, so use it for ideas and not as advice. Aubergine Legal: legal guide for website designers and developers (law firm guide, Dec 2023).
  • If your client is an individual rather than a business, consumer rules can apply. Check with Citizens Advice or a solicitor before you use business-only wording. Citizens Advice: consumer help.
