Dance school owners and principals playbook · 9 jobs

AI for dance school owners and principals: 9 jobs to hand to AI this week (drafts only: children’s details, safeguarding, show licences and money decisions stay with you)

This page is for the owner or principal of a private dance school who teaches many of the classes and also runs the fees, the late payers, the notice dates, the new term, the parent messages, the hall rent and the shows. Two UK schools’ own letters show the shape of it: a termly letter with a fee deadline, a 10% surcharge for late payment and a date to give notice for next term, and a fee-rise notice that explains rent, energy, insurance and music licence costs and gives members a period of notice. AI here only lays out letters, reminders, saved replies, tables and checklists from blanks. It never sees a child’s or parent’s name, contact, date of birth, photo, medical or safeguarding detail, or any bank detail: you fill those in afterwards in your own system. Whether a show needs a child performance licence or a Body of Persons Approval, who needs a DBS check, whether a late fee or notice term is fair, and whether a monthly membership falls under the new subscription rules are not AI questions: they are decided by your council, your safeguarding lead and an adviser. Nothing you send to parents needs to mention how it was drafted. Nine jobs are listed because that is what the evidence supports. UK rules and guidance are labelled UK; child performance licensing items are England.

Job 1 of 9ChatGPTClaude

Write the termly fees letter: payment deadline, any published late-payment surcharge, the date to give notice for next term, and the Direct Debit note

Each term a dance school sends the same kind of letter, and the details that cause trouble later are the dates. The Dance Company’s April 2023 letter sets a fee deadline, says 10% will be added if fees are late, and asks parents who plan to leave to say so by a set date to avoid being charged for the next term. Downland Dance told members when their Direct Debit would change. A fixed layout with headings for each of these (fees due, how to pay, the late-payment line from your terms, the notice date for leaving, what happens to Direct Debits, who to contact) means nothing is left out and every date is in one place for you to check. The AI writes the letter from blanks only. It never sees a child or family, it never picks a percentage or a notice period, and it does no maths. You set the dates and terms, and whoever keeps the accounts checks every figure before it goes out.

Steps

  1. In your own document, write next term’s dates, the fee deadline, how parents pay, the late-payment line exactly as it appears in your published terms (if there is one), the date by which parents must give notice to leave, and what happens to Direct Debits.
  2. If anything about Direct Debit timing or amounts is changing, ask your Direct Debit provider what advance notice they require you to give parents. Do not ask an AI tool.
  3. Run the prompt below with its brackets left as they are. Do not type a fee, child’s name or parent’s detail into the AI tool. You get back a letter layout with headings and a short version for your booking app.
  4. Fill in the blanks in your own document, then check every date against your term calendar and every fee line against your published terms with whoever keeps the accounts.
  5. Send the letter from your booking system or school email with recipients hidden from each other, and post the same dates on your website if you keep them there.
  6. After term starts, note which questions parents still asked and add a line to next term’s letter.

The exact prompt

Copy, paste, then fill in the [brackets]
Write a termly fees letter from the principal of [SCHOOL NAME], a UK dance school, to parents for [TERM]. Use these headings, each followed by its bracket and one plain sentence: Term dates ([TERM DATES]); Fees and when they are due ([FEE DEADLINE]); How to pay ([PAYMENT METHODS]); If fees are paid late ([EXACT LATE-PAYMENT WORDING FROM THE PUBLISHED TERMS, OR NONE]); Giving notice to leave ([NOTICE DATE] and [WHAT HAPPENS IF NOTICE IS NOT GIVEN, IN THE PRINCIPAL’S WORDS]); Direct Debits ([WHAT HAPPENS TO DIRECT DEBITS THIS TERM]); Questions ([CONTACT ROLE]). Keep it under 250 words and friendly. Then write a version of under 80 words for a booking-app message with the same brackets. If the late-payment bracket says NONE, leave that heading out. Do not state any fee, percentage or notice period that is not in a bracket.
RULES FOR THIS CHAT: I will give you only my own school wording, headings and dates that I have typed in. I will not give you, and you must not ask for, any child’s or parent’s name, date of birth, photo, email address, phone number or address, any medical, access, behaviour or safeguarding detail, any bank or payment detail, or any amount owed by a named family. Use the blanks in square brackets exactly as I give them. Do not invent dates, prices, fees, surcharges, notice periods, terms or facts about any person, hall or council, and do not say what is standard, usual, fair, owed or legal. Do not give legal, consumer-law, safeguarding, child-licensing, data protection, tax or accounting advice, and do not do any arithmetic: copy every figure exactly as I typed it or leave the cell empty. Where something is missing write [FOR THE PRINCIPAL TO COMPLETE]. Everything you write is a draft that a named person will check before anything is sent.

✓ Check before you send

  • Every date in the letter matches your term calendar, and every fee, surcharge and notice line was pasted by you from your published terms; none came from the AI tool.
  • The Direct Debit section says only what you have confirmed with your Direct Debit provider.
  • Whoever keeps the accounts has read the letter before it goes out.
  • No child’s or parent’s name, fee or bank detail was typed into the AI tool, and the letter says nothing about how it was drafted.
  • If you sell monthly memberships that renew automatically, you have noted to re-check the GOV.UK subscription pages before January 2027 rather than relying on this letter.

Chase unpaid class fees in three steps that match your own published fee deadline and late-payment surcharge

Late payment is a term-by-term job in a dance school. The Dance Company in Isleworth told parents in its own April 2023 letter that fees not paid by the deadline would have 10% added to the invoice. In a ClassForKids case study, the owner of Dance Republic in Scotland says that before software, taking payments needed an extra person and parents would carry payments over several weeks, which made cash flow a nightmare. A three-step sequence (a friendly reminder before the deadline, a clear note the day after, and a final note that quotes your own published terms word for word) means every family gets the same wording and you stop rewriting it at night. The AI drafts the three messages from blanks. It never sees a family’s name or an amount, and it does no arithmetic. You decide whether a surcharge applies to a particular family, whoever keeps your accounts checks every figure, and the wording never goes beyond what your published terms already say.

Steps

  1. Open your published terms and conditions and copy, into your own document, the exact lines about the fee deadline, any late-payment surcharge and how parents pay. If your terms do not mention a surcharge, do not add one in a reminder.
  2. Decide the dates for each step this term: a reminder before the deadline, a note the day after it, and a final note. Write them in your diary.
  3. Run the prompt below with its brackets left as they are. Do not type a child’s or parent’s name, an amount or a bank detail into the AI tool. You get back three short messages and a one-line private note about money worries.
  4. Paste your terms wording and dates into the blanks in your own document, then compare each message line by line with your published terms.
  5. Send each message from your booking system or school email, one family at a time, with no other family able to see it. Note in your own records which step each family has had.
  6. Before you send the final step, decide yourself, with whoever keeps your accounts, whether to apply the surcharge, offer a plan or stop the place, and keep that decision out of the AI tool.

The exact prompt

Copy, paste, then fill in the [brackets]
Write three short messages from the principal of [SCHOOL NAME], a UK dance school, to a parent whose class fees for [TERM] are unpaid.
1. A friendly reminder sent before the deadline: fees for [TERM] are due by [DEADLINE] by [PAYMENT METHOD]. Under 60 words.
2. A clear note sent on [DATE AFTER DEADLINE]: the deadline has passed, please pay by [NEW DATE], and the school’s terms say: “[EXACT WORDING FROM THE PUBLISHED TERMS]”. Under 80 words.
3. A final note sent on [DATE]: payment is still outstanding, quoting the same terms wording, saying what happens next in the principal’s words ([WHAT HAPPENS NEXT, AS DECIDED BY THE PRINCIPAL]), and giving [CONTACT ROLE] for questions. Under 100 words.
Add one separate sentence the principal can add to any message: anyone finding fees hard to manage can speak privately to [CONTACT ROLE]. Keep the tone warm and plain, never threatening. Do not mention any amount, any child, or any rule that is not in the bracketed terms wording.

  • Every deadline, payment method and surcharge line in the messages was pasted by you from your own published terms; the AI tool added no fee, percentage or consequence.
  • Each message goes to one family only, from your booking system or school email, and no other family can see it.
  • The final step names what happens next only as you and whoever keeps your accounts have decided it, and you have read your terms against the CMA guidance or asked an adviser if you are unsure the surcharge is fair.
  • No child’s or parent’s name, amount or bank detail was typed into the AI tool, and the messages say nothing about how they were drafted.
  • The private-contact sentence names a real person who has agreed to take those conversations.

Job 3 of 9ChatGPTClaude

Build the new-term pack: term dates, timetable changes, uniform list, the notice date, one parent email and one social post

The start of term is when admin peaks. In a ClassForKids case study, the owner of Glasgow Dance Academy says admin used to become overwhelming at the worst possible times, especially when starting a new term, and that new term used to be a really big admin task. The Dance Company’s own letter shows what parents need in one place: term dates, uniform, and the date to give notice. A pack with fixed sections (dates, timetable changes, what to wear and bring, the notice date, who to contact), plus one email and one social post that say the same thing, means you write it once and copy it forward each term. The AI lays out the pack from your own facts in blanks. It never sees a child, never names a pupil, and never adds a claim that places are filling up. You check every time and room against your timetable and hall booking, and any post that promotes classes is kept separate from information parents need.

Time: About 60 minutes once, then 20 minutes per termTool cost: you can start with a free AI tool

An AI chat tool you already use

Steps

  1. Write in your own document next term’s dates, any timetable or room changes, the uniform and what to bring for each class style, the notice date for leaving and the contact for questions. Leave out anything not yet confirmed with the hall.
  2. Run the prompt below with its brackets left as they are. Do not type a child’s name, photo or class list into the AI tool. You get back the pack layout, a parent email and a short social post.
  3. Fill in the blanks in your own document and check every time, day and room against your timetable and hall booking.
  4. If the social post will show any photo of a child, use only photos you have written consent for, and choose them yourself outside the AI tool.
  5. Send the email from your booking system or school email with recipients hidden from each other, and keep any promotion for new pupils in a separate post or section.
  6. Save the pack as next term’s starting point and change only what has changed.

The exact prompt

Copy, paste, then fill in the [brackets]
Write three things for the principal of [SCHOOL NAME], a UK dance school, for the start of [TERM].
1. A one-page new-term pack with these headings, each followed by its bracket: Term dates ([TERM DATES]); Timetable changes ([CHANGES, AS TYPED BY THE PRINCIPAL]); What to wear and bring ([UNIFORM BY CLASS STYLE]); Giving notice to leave ([NOTICE DATE]); Fees letter ([WHERE TO FIND IT]); Questions ([CONTACT ROLE]).
2. A parent email of under 150 words pointing to the pack, with the same brackets and no child names.
3. A short social post of under 50 words for current families with [TERM DATES] and [CONTACT ROLE], and, separately and clearly labelled Promotion, two alternative lines inviting new pupils to [TRIAL OR ENQUIRY ROUTE].
Do not add any date, time, room, price, availability claim or result.

  • Every date, time, day and room in the pack matches your timetable and hall booking; none came from the AI tool.
  • No child’s name, photo or class list was typed into the AI tool, and any photo used in the post has written consent that you hold.
  • Information for current families is kept separate from promotion for new pupils, and anyone receiving promotion by email has agreed to it.
  • The notice date in the pack is the same as in your termly fees letter and published terms.
  • Nothing in the pack, email or post mentions how it was drafted.

Questions dance school owners and principals ask

Is it safe to put children’s or parents’ details into an AI tool?

Don’t. Names, dates of birth, photos, contact details, medical or injury notes, behaviour notes, safeguarding concerns, bank details and what a family owes stay in your own booking system and records. The prompts on this page use blanks such as [TERM], [DEADLINE] and [CONTACT ROLE], and you fill them in afterwards in your own document. In the UK the ICO lists data concerning health as special category data, so children’s medical details need extra care: keep them with one named person.

Can AI tell me whether my show needs a licence, who needs a DBS check, or whether my late fee is fair?

No. In England, a Body of Persons Approval is decided by the council where the show takes place, and an individual child performance licence by each child’s home council; checks for staff and helpers are for your safeguarding lead and the official guidance, and whether a late fee, notice term or monthly membership is fair or covered by the new subscription rules is for you to check against the official guidance with an adviser. The jobs on this page only lay out checklists, letters and tables that you fill in and check yourself.

Should parents be told that a letter was drafted with AI?

The jobs here are drafts that you check, change and send yourself, in your own name, so the letter is yours. Nothing on this page asks you to mention how a draft was made. What matters is that every date, fee and rule in it is right and comes from your own records and published terms.
