From the AI playbook for community pharmacies

Job 1 of 14ChatGPTGemini

Write a counter script and a door notice for a medicine shortage that never gives clinical advice

Owners describe shortages as a regular source of upset patients and, sometimes, aggression, and say many extra hours every week go on supply problems rather than patient care. Staff who have a calm, agreed form of words for 'we cannot supply this today' do not have to improvise it with an anxious person at the counter. AI can draft those lines and a short door notice from your own facts. It never says what a patient should do without their medicine and never names or recommends an alternative: that is the pharmacist's decision, face to face.

Time: About 30 minutes once, then 5 minutes to update the noticeTool cost: you can start with a free AI tool

Steps

  1. Write down, in your own words, what you can honestly offer when a product is out: checking other suppliers, speaking to the prescriber, a call-back if you choose to offer one, and who on the team does each. Add the signposting line your superintendent has approved for patients who are unwell or running out of something they need.
  2. List the four moments the script must cover: the product is not available today; the patient asks whether something else will do; the patient is upset or raising their voice; and a patient asks when it will be back in.
  3. Paste your facts and your approved signposting line into the prompt. Do not paste any patient detail, medicine name tied to a person, or anything about a particular incident.
  4. Have the pharmacist read every line aloud, strike anything that sounds like clinical advice, and add the medicine-specific lines yourself, in your own words, only when the pharmacist has decided them.
  5. Print the script for the counter and the dispensary, put the notice on the door only once it matches what you really do, and date it so it is changed when the situation changes.

The exact prompt

Copy, paste, then fill in the [brackets]
I am the owner of an independent community pharmacy in England. Using ONLY my notes below, write counter staff lines and a door notice for when a medicine is not available.
You must NOT give clinical advice. Do not name, suggest or compare any medicine or alternative, do not say that anything is equivalent, suitable or safe, do not say what a patient should do without a medicine or about missed doses, and do not state when stock will arrive unless I give the date. If a patient needs advice about their health, the line must say the pharmacist will speak to them. Use my approved signposting line exactly as written.
What we can offer when a product is out, in my words: [text].
My approved signposting line for patients who are unwell or running out: [text].
Who does what in the team: [text].
Our policy on abusive behaviour, in my words: [text].
Produce: (1) four counter lines of no more than 30 words each for: product not available today, patient asks about something else (the line must hand them to the pharmacist), patient upset or raising their voice, patient asks when it will be back; (2) a door notice of no more than 70 words that says what we do to help, using only what I wrote above, with no medicine names and no statement about why stock is short; (3) a list of anything in my notes that sounds like clinical advice, which the pharmacist must remove or rewrite before use.

✓ Check before you send

  • The pharmacist has read every line and none names a medicine, an alternative or what to do without a medicine.
  • The signposting line is exactly the one your superintendent approved, not worded by the tool.
  • The door notice states only what you really do, and no restock date unless you were given one.
  • The line for 'can I have something else' hands the patient to the pharmacist and says nothing about suitability.
  • Nothing in what you pasted identified a patient or a particular incident.
