Draft rota options and a locum brief so you can see where second-pharmacist cover is missing
The PDA's survey (a union, so read it as advocacy) reports that many pharmacists want a second pharmacist on site to manage the workload. Whether you can afford or arrange that is your decision, but seeing the week laid out makes the gaps clear. AI can build rota options from the availability you type, mark the busiest sessions, and draft a short locum brief with the practical facts a locum needs. It never decides whether cover meets the Responsible Pharmacist or NHS rules: you and your superintendent do.
Steps
- Make a sheet of your opening hours by session (for example weekday mornings, lunchtime, afternoons, Saturday) and mark which sessions you already know are the busiest, using your own sense of the week.
- List each team member by initials only with the sessions they can work and any fixed commitments, and list your regular locums by initials with the days they have offered.
- Type your own rules for cover, such as which sessions you want two pharmacists on, how many hours a person can work in a row and who must open and close, writing them as your preferences and not as legal requirements.
- Paste the sheet into the prompt and ask for two or three rota options and a list of sessions with no cover for your preferences. Check each option against your Responsible Pharmacist arrangements and working time rules yourself.
- Ask for a locum brief covering the practical facts only: opening hours, who will be in, how the day usually runs, where things are, parking and who to ring. Send the rota and brief yourself once you have checked them.
The exact prompt
I run an independent community pharmacy in England. Using ONLY the sheet below, suggest rota options for next week and list the sessions where my own cover preferences are not met. You must NOT say whether any rota meets the Responsible Pharmacist rules, NHS terms of service, working time rules or any other legal requirement, and you must not give clinical advice. Treat my cover rules as my preferences. Do not invent availability, and show staff only as the initials I give you. Opening sessions, with those I know are busiest: [list]. Team members by initials with the sessions each can work and fixed commitments: [list]. Regular locums by initials with the days offered: [list]. My cover preferences, for example sessions that need two pharmacists, longest run of hours, who opens and closes: [text]. Produce: (1) two or three rota options in a table by session and initials; (2) a list of sessions where my preferences are not met under each option; (3) a locum brief of no more than 150 words with opening hours, who will be on, how the day runs, where things are, parking and who to ring, using only the facts I give; (4) a reminder that I and my superintendent must check Responsible Pharmacist cover and working time before anything is confirmed.
✓ Check before you send
- Every person's availability and every fixed commitment in the options matches your sheet.
- Staff appear only as initials, and no home addresses, phone numbers or health or family reasons are in what you pasted.
- You have checked Responsible Pharmacist cover and working time yourself or with your superintendent, not relied on the tool.
- The locum brief holds practical facts only, with no clinical instructions or procedures.
- You compared the sessions with no cover with your own sense of the busiest times before changing anything.

- Responsible Pharmacist and NHS staffing requirements are for you and your superintendent to check against NHS England and GPhC guidance. This job does not decide them.
- This job is for pharmacies in England; rules and NHS arrangements differ in Scotland, Wales and Northern Ireland.
