Find out which admin is eating your evenings, then template it
Walkers know they spend evenings on messages and invoices, but not which part costs the most. Logging a week of admin by type, then turning the top two into templates or a simple routine, gives you your evenings back more reliably than a new app.
Steps
- For one week, log each admin task in your notes: what it was, how long it took and when (booking replies, schedule changes, invoices, chasing, reminders).
- At the end of the week, total the minutes for each type yourself.
- Paste the totals with the prompt below and ask which type to template first and what the template should say.
- Build the top two templates in your phone, and use them for a week.
- Repeat the log for a few days and check whether the time dropped.
The exact prompt
I'm a UK dog walker. Here's a week's admin log, with total minutes per type: [paste types and minutes]. Show the types in order of time spent, and for the top two, write a short ready-to-use template message or checklist I can reuse (with gaps for names, dates and amounts). Don't suggest software and don't give any figures I haven't given you.
✓ Check before you send
- The log covers a normal week, not a holiday.
- You added the minutes yourself.
- The templates match how you'd speak to your clients.
- You've compared the time spent before and after.
UK notes extra
- Records of client messages and invoices include personal data, so keep them private and delete them when you no longer need them. ICO: advice for small organisations.
- Keep records of costs and income for your tax return. GOV.UK: expenses if you're self-employed.
