Chase clients for payslips, statements and ID with a "what we still need" list
Cases stall because one payslip is missing and nobody has asked for it in plain words. A reminder that lists exactly what's still outstanding, with the reason it matters and a friendly nudge each few days, gets documents in without you rewriting the same email.
Steps
- Make a checklist per case type (employed, self-employed, remortgage, first-time buyer): payslips, bank statements, ID, proof of address, deposit evidence, P60 or tax documents. You decide what you need for each.
- In a sheet, list each live case by reference: what's received, what's outstanding and the date each was last requested.
- Paste the outstanding list for one case into the prompt below to get a short email or text that lists exactly what's missing, in plain English.
- Edit it to sound like you, send it yourself, and log the date. Chase again on your own schedule with a shorter version.
- After three chases with no reply, ring the client yourself and note it.
- Tell clients, in your privacy notice and your first email, how to send documents safely, and never ask for full card or account log-in details.
The exact prompt
I'm a UK mortgage adviser chasing a client for documents. Client first name: [name]. Case type: [e.g. employed remortgage]. Still needed: [list, e.g. last 3 payslips, last 3 months' bank statements for the main account, photo ID]. Already received: [list]. How to send them: [secure upload/portal link]. Write a friendly, plain-English email under 120 words listing exactly what's still needed and why I need it (the lender needs it to assess the application). Then write a shorter reminder under 50 words, and a text message under 30 words. Don't mention any deadline, rate, lender decision or consequence unless I've given it, and never ask for passwords or card numbers.
✓ Check before you send
- The list matches the checklist for this case and what's actually outstanding.
- The message says nothing about outcomes, rates or lender decisions, and asks only for documents through your secure route.
- You send it and log the date, and you ring after three chases.
