Draft the suitability report from the adviser's own fact-find and notes
The suitability report can be one of the biggest time costs once a case has been researched, and it's mostly assembling what the adviser already knows into the firm's structure. A first draft built from the fact-find, the adviser's recommendation notes and the firm's template means the adviser spends time checking and sharpening the reasoning, not typing it.
Steps
- Complete the fact-find and do your research and affordability assessment as you normally do. Decide the recommendation yourself, and write your reasons for it in your own notes, in a few lines. This job starts after the advice has been decided.
- Take your firm's suitability report template, or the headings you use, and put your fact-find answers and your recommendation notes under them. Replace client names with initials if your tool's terms call for it. Leave out any health or vulnerability detail, and any account numbers or dates of birth, and add that to the final report yourself.
- Paste the structure and the prompt below into your AI tool, with the product details as shown on the lender's illustration or key facts document.
- Read the draft against the fact-find and your notes, line by line. Delete anything the AI added, check each figure against the illustration, and rewrite the reasoning in your own words where it's thin or wrong.
- Compliance or paraplanner review it as your firm requires. Only the adviser sends it, under their own name.
- File the final report and your notes together. Keep the records for as long as the rules and your firm require (MCOB sets a minimum of three years from the advice).
The exact prompt
I'm a UK mortgage adviser. I have already carried out the advice process and decided the recommendation. Draft a suitability report using ONLY the information below, in the structure of my template. Client circumstances and objectives, from my fact-find: [paste, with names as initials]. My recommendation and my reasons, in my words: [paste]. Product details, copied from the lender's illustration: [paste]. Fees and charges, as agreed: [paste]. Write each section in plain English. Where my notes don't cover something the template needs, write "[ADVISER TO COMPLETE]" and don't fill it. Don't add any reasoning, product comparison, affordability statement or risk warning that isn't in my notes. Don't state that the product is suitable beyond repeating my own recommendation.
✓ Check before you send
- The adviser has checked every figure against the lender's illustration and every statement against the fact-find and their own notes.
- No reasoning, warning or comparison has been added that the adviser didn't write, and every [ADVISER TO COMPLETE] has been completed by the adviser.
- The final report is the adviser's own, reviewed as your compliance process requires, and it's the adviser who sends it.
UK notes extra
- The advice, suitability and record-keeping rules: FCA Handbook: MCOB 4, advising and selling standards (see MCOB 4.7A on advised sales and record keeping).
- The FCA's position on AI: firms stay accountable under existing rules. FCA: AI and the FCA, our approach.
- Health information is special category data and needs a lawful basis plus a separate UK GDPR Article 9 condition (FCA and ICO joint statement). As a rule for this job, keep it out of AI tools. FCA and ICO: joint statement on vulnerability-related data.
