Turn your own meeting notes into a clean file note
The file note is the record of what the client said and what you advised, and it's the record you'll want to hand over if a case is ever questioned. Typed up the same day it's more likely to be accurate than a week later. Quick, tidy file notes from your own jottings keep the record true while you still remember the meeting.
Steps
- During or straight after the meeting, jot your own notes: what the client said about their circumstances, goals, concerns and questions, what you explained, and what you agreed to do next.
- Paste the notes into the prompt below, using initials for the client. Leave out any health or vulnerability detail; record that yourself (see the vulnerable-customer job).
- Read the file note against your jottings, and against your own memory of the meeting. Fix anything that isn't what was said, and delete anything the AI added.
- Add anything it left out, especially any concern the client raised and how you dealt with it.
- Save the final note in your CRM or case file, dated, and mark it as your record. Don't keep the AI chat as the record.
The exact prompt
I'm a UK mortgage adviser. Turn my rough meeting notes into a clear file note. Use ONLY what is in my notes: client initials [AB], date [date], who attended, circumstances discussed, objectives, concerns raised, what I explained, questions asked and my answers, agreed next steps. Keep my meaning exactly. Put anything unclear under "[ADVISER TO CLARIFY]" instead of guessing. Don't add advice, recommendations, risk warnings or anything I didn't note. Don't summarise away a concern or a question the client raised. My notes: [paste]
✓ Check before you send
- The note says what happened in the meeting and nothing more, and every [ADVISER TO CLARIFY] is resolved by you.
- Concerns the client raised and your answers are in the note.
- The note is the adviser's own record, saved with the date, and not left in the AI tool.
UK notes extra
- What advisers must record and keep: FCA Handbook: MCOB 4, advising and selling standards (see MCOB 4.7A on advised sales and record keeping).
- Client information is personal data, sometimes sensitive. ICO: AI and data protection.
- Health information is special category data and needs a lawful basis plus a separate UK GDPR Article 9 condition (FCA and ICO joint statement). As a rule for this job, keep it out of AI tools. FCA and ICO: joint statement on vulnerability-related data.
