Reply to a client who says a competitor is cheaper, using only what you can show
A long-standing client who gets a lower quote will ask you to match it, and the quotes are often not like for like. The strongest reply is calm and factual: what your price covers, what a quote without a site visit cannot cover and what you can show. AI can draft that from your own quote and survey. It must not run down the other firm, and it never decides whether to cut your price.
Steps
- Ask the client for the other quote, or at least what it covers: visits per year, areas, pests, response times and reports.
- List, line by line, what your price includes and what you know the other quote does not say.
- Decide what you are prepared to offer, if anything, such as a different visit pattern, and what you will not change.
- Paste the comparison into the prompt and ask for a short, polite reply and a like-for-like table.
- Check every statement is factual, then send it. Do not name or criticise the other firm.
The exact prompt
I am a UK pest controller. A client says a competitor quoted less. Using ONLY the facts below, write a short, polite reply and a like-for-like comparison table. Do not name or criticise the other firm, do not say or imply they are unprofessional, do not suggest or compare any product or method, and do not offer a discount; I decide that. My quote: price £[amount]; what it covers, including visits per year, areas, pests, response times and reports: [list]. What the client has told me the other quote includes (only what they said): [list]. What I surveyed and found at the site, if I did: [text]. What I am willing to adjust, and what I will not: [text]. Produce: (1) a reply of no more than 150 words that thanks the client, sets out what my price covers and asks them to check the other quote covers the same things; (2) a table with columns item, my quote and what the other quote says, marking anything not stated; (3) three questions the client can ask the other firm about scope; (4) a reminder of what I should confirm before I send it.
✓ Check before you send
- Every line in the comparison is a fact from your own quote or what the client told you.
- The reply does not name, criticise or guess about the other firm.
- It offers no discount or change unless you decided one.
- You can show what your price covers, for example your survey report.
- You have kept the other quote details the client gave you private.
