From the AI playbook for pest controllers

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 1 of 13ChatGPTGemini

Write a domestic quote that says what the price covers, how many visits and what is not guaranteed

A householder who paid 250 pounds for a short loft visit was left wondering what they had bought, and repliers said the first question should have been about the quote. An owner can avoid that with one plain page: what you will do, how many visits the price includes, what happens if the pest comes back and what you cannot promise. AI can turn your own visit notes and prices into that page. You set the price and the method, and the prompt never asks it to suggest either.

Steps

  1. After the survey or phone call, write down what you found or what the customer reports, the areas covered and the number of visits you expect to make.
  2. Write your price, whether it includes VAT, what it covers and what is extra, such as proofing or clearing a loft.
  3. Decide what you will say about guarantees or return visits, only if you actually offer them, and when the customer has to call you.
  4. Paste your own notes into the prompt and ask for a one-page quote in plain English.
  5. Read it as the customer would, check the figures, and send it before any work starts so the customer has agreed the price first.

The exact prompt

Copy, paste, then fill in the [brackets]
I am a UK pest controller writing a domestic quote. Using ONLY my notes below, write a one-page quote in plain English. Do not suggest, name or compare any pesticide, rodenticide, trap or method, do not say what treatment is needed, do not identify a species, do not invent a price or guarantee, and do not give any safety instruction. Where a safety step is needed, write 'we will explain this at the visit, per the product label and my COSHH assessment'.
Customer first name and the type of job (no surname or address): [text]. What the customer reports and what I found, in my own words: [text].
What I will do, in my own words, and the number of visits included: [text].
Price: £[amount], VAT [included, added or not registered]. What is included and what is extra: [list].
My guarantee or return-visit policy, if I have one: [text or none]. What I cannot promise: [text].
What I need from the customer (access, clearing space, keeping pets away, as I have decided): [list].
How the customer pays and how they can cancel: [text].
Produce: (1) a quote under the headings what we found, what we will do, number of visits, price and what it includes, what is not included, what we need from you, guarantee or return visits, and how to pay or cancel; (2) a three-sentence plain-English summary the customer can read first; (3) a list of anything in my notes that is unclear and that I must settle before sending.

✓ Check before you send

  • Every figure and visit number is one you have decided.
  • The quote names no product and gives no safety instructions that came from the tool.
  • VAT is shown the way you charge it and the total is the full price the customer will pay.
  • Guarantees and return visits are only what you really offer.
  • The customer has the quote and has agreed it before work starts.

UK notes extra

  • If the work is agreed at the customer's home, GOV.UK says you must give certain information before the order, including the price or how it is worked out and any right to cancel. Check how it applies to urgent call-outs. GOV.UK: door to door sales, information and cancellation rights.
  • The CMA price transparency guidance covers mandatory charges and how prices must be shown to consumers. CMA: price transparency guidance (UK).
  • The Consumer Rights Act 2015 requires services to be performed with reasonable care and skill. legislation.gov.uk: Consumer Rights Act 2015, section 49 (service to be performed with reasonable care and skill).
