From the AI playbook for removals and man-and-van firms

New to AI? You don't need to learn anything first. Follow the steps below: open the tool, paste the prompt, fill in the [brackets], then check the result before you use or send it. See also how to use AI at work, for beginners.

Job 1 of 17ChatGPTGemini

Write a removals quote that says what it covers and what it assumes

Many disputes on the day can start with a quote that didn't say what it assumed: how many rooms, how far from the van, which floor, whether there's a lift. A quote that lists the assumptions and what changes the price protects you, and lets the customer correct a mistake before it costs either of you.

Time: About 15 minutes per quoteTool cost: you can start with a free AI tool

Steps

  1. Do your normal estimate: volume, crew, hours, vehicle and travel. Write the figures down yourself. The prices and hours are yours; AI doesn't estimate the job.
  2. List what you know from the customer or a survey: rooms, big items, floors, lifts, parking, carry distance, packing, dismantling.
  3. List the assumptions that would change the price (for example access, parking, more items than listed, extra stops).
  4. Paste your figures and assumptions with the prompt below and ask for a one-page quote the customer can read in a couple of minutes.
  5. Check every figure and assumption against your notes, then send it from your own email and keep a copy with the job.

The exact prompt

Copy, paste, then fill in the [brackets]
I run a UK removals firm. Write a clear quote for a customer using only the details below.
Customer: [first name]. From [address area] to [address area], date [date].
Price: £[price] for [crew] and [vehicle], estimated [hours]. What's included: [list]. What's not included: [list].
What we've assumed: [rooms, big items, floors, lifts, parking, carry distance, access].
What could change the price: [e.g. more items than listed, access problems, extra stops], and how I'll tell them before extra is charged: [phone call before any extra].
Keep it under 250 words in short sections: the job, the price, what's included, what we've assumed, what could change the price, how to accept. Plain English. Don't invent any figures or promises, and don't guess volumes.

✓ Check before you send

  • Every figure matches your own estimate.
  • The assumptions are the real ones you used, and the customer has seen them.
  • The quote says how you'll tell the customer before any extra is charged.
  • Nothing in the quote promises a time or condition you can't keep.

UK notes extra

  • Customers have rights if a service isn't carried out with reasonable care and skill, and unclear price terms can be challenged as unfair. GOV.UK: consumer protection rights.
  • Terms that let you change the price need to be fair and clear. CMA: unfair contract terms guidance.
