Draft a governor vacancy letter and welcome email from your board's own wording and checklist
The problem
The NAGAS handbook includes an example parent-governor vacancy letter and a welcome email that lists the paperwork a new governor is sent. Both are standard, the school's details change and a clerk writes them each time a seat falls vacant or someone is appointed. AI can adapt your board's own wording into a clear letter and email. It must not write the eligibility or disqualification rules, the election procedure or the pre-appointment checks, because those come from the board's instrument of government or articles and the DfE, and a mistake could invalidate an election: you paste that wording in yourself.
What AI does
AI builds a letter announcing a governor vacancy, and an email welcoming a new governor, around your board's own wording, copying the eligibility and nomination text unchanged. No candidate details go into the AI tool, and the Chair or Headteacher approves the letter.
Time
The steps, in short
- Gather your board's own vacancy wording and welcome checklist.
- Mark the wording that must be copied unchanged.
- Have AI draft the letter and email around it.
- Check them against your sources paragraph by paragraph, get approval and add names by hand.
