Draft a polite three-step reminder for declarations of interest and other overdue forms
The problem
A practising clerk lists chasing governors for their declaration of interests among the work that a small fixed-hours contract does not cover, and the handbook expects the register of interests to be reviewed at the start of every meeting, so it has to be up to date. Chasing is repetitive, awkward and easy to put off. AI can draft a first, second and final message with blanks for names, in a tone you choose and with a date the Chair has agreed. It must not judge whether someone has a conflict, write about disqualification or suspension, or decide what happens if a form stays missing: that is the Chair's and the board's.
What AI does
AI drafts three polite reminders for overdue governor forms, built from the list of forms, the due date and next-step wording approved by the Chair. Names stay out of the AI tool, and any next step is the Chair's decision.
Time
The steps, in short
- Agree with the Chair which forms to chase, the deadline and the next-step wording.
- Track who has returned what in your own system, outside the AI tool.
- Have AI draft the three reminders with name blanks.
- Fill in names, send them yourself, and report non-returns to the Chair.
A short sample prompt
Draft three polite reminders, increasing gently in firmness, asking [NAME] to return [form names] by [deadline]. In the last one, use only this next-step wording the Chair approved: [wording]. No threats.
