Lay out a blank action-status log and a short note asking the responsible person for an update on each action in your report
The problem
A fire safety business’s post in August 2026 asks what happened to the actions in an assessment, and commenters, including one writing as an assessor, describe actions typed into a spreadsheet nobody owns, and the same unaddressed actions found year after year. The measures are the responsible person’s to take and record, and some firms already give clients a portal, so this is a small, plain job: a blank log kept by you, and a short note asking for an update in the client’s own words. AI lays out the blank log and the blank note only. You type every action and every reply yourself, and it never sees a report, an action or a reply. Whether an action needs your visit before you record it as seen, and whether your terms cover chasing, is for you and your client, not AI.
What AI does
AI lays out a blank action log from your column headings and a short, neutral note asking the responsible person for an update in their own words. It says nothing about risk, urgency or the law, and you fill in the actions yourself.
Time
The steps, in short
- Decide the columns for your action log.
- Have AI lay out the blank log and a short note with blanks to fill in.
- Check the note asks only for an update, then save both.
- Fill them in yourself from your own report, send the note, and record each reply as given.
A short sample prompt
I assess fire risk in the UK. Lay out a blank action log with these columns: [your column headings]. Then draft a short, neutral note to [CLIENT] asking for an update on [ACTION REFS], with nothing about risk, urgency or the law.
