Lay out a blank cover-note template for sending a report and action plan to the responsible person, which you complete by hand
The problem
When you send an assessment to a client, a short cover note saying what is attached, who needs to do what by when, and when the review is due is easy to forget or to write differently each time. The Order puts the record of the assessment and the measures on the responsible person, and the industry guide says the duty holder keeps responsibility for the adequacy of the assessment, so the note must carry your own findings and timescales and never anyone else’s. AI is used only to lay out the blank template with fields: you write every finding, action, owner and date yourself, outside the AI tool, and it never sees the report, the findings or the action plan. Writing, ranking or softening findings and actions is not an AI job on this page.
What AI does
AI lays out a blank, one-page cover-note template from the field names you choose, with every box left for you to complete. It writes no findings, priorities or timescales, and no report content goes into the AI tool.
Time
The steps, in short
- Decide which fields your cover note needs.
- Have AI lay out a blank template from the field names only.
- Check that no box contains suggested wording, then save the blank.
- Complete a copy by hand for each report and send it with the report.
A short sample prompt
I assess fire risk in the UK. Lay out a blank one-page cover-note template with one box per field I list, and write [ASSESSOR TO COMPLETE] in every box. Add no wording of your own. Fields: [your field names]
