Spot clients who are drifting, and send a re-engagement message
Clients rarely quit suddenly. They miss check-ins first. A simple weekly look at who's gone quiet lets you reach out before they cancel.
Steps
- Track each client: last check-in date, sessions missed this month, last message.
- Run the prompt below once for the sheet and a message.
- Every week, filter for anyone flagged.
- Send a personal message, not a sales pitch.
The exact prompt
Build a Google Sheet to spot at-risk coaching clients. Columns: first name, last check-in date, days since check-in (formula), sessions missed this month, flag "AT RISK" if [14] days since check-in or [2]+ missed. Then write a re-engagement message (under 70 words) from a personal trainer: noticed we haven't caught up, no pressure, ask how things are going and if the plan needs changing. Warm, not guilt-tripping.
✓ Check before you send
- Messages are personal, not automatic.
- Health worries are referred to a GP, not handled by you or AI.
- Client data is kept securely.
