AI for plumbers: a plain-English beginner's guide (England)

Last reviewed: 31 Oct 2026

If you are a plumber, or run a small plumbing and heating firm, in England, this guide gives plain answers to questions the trade commonly asks about AI at the start. AI's job here is the office writing: a quote, a chaser, a review reply. It makes no safety judgements and never fills in a gas safety record or a test result, because gas work is only for Gas Safe registered engineers. Customer personal data never goes into an AI chat app, and a customer sees nothing you have not read and approved.

Some rules and regulators change once you leave England. Northern Ireland has its own body for workplace and gas safety, HSENI. The sources quoted here are for England.

Getting started

How do I use AI in my plumbing business?

Choose the weekly bit of writing you like least, such as turning scribbled job notes into a quote or chasing a customer who has gone quiet. In an AI chat app like ChatGPT, Copilot or Gemini, type the facts of the job without the customer's name or address, and ask it for a brief draft in everyday British English. Correct it, and if you would not put your own name to it, do not send it.

If you have never used one of these tools, how to use AI at work, for beginners covers the basics in five steps.

I have signed up to ChatGPT; how do I use it properly?

Give it the facts, the job and the limits every time. Say who the message is for, what it must include, what it must not add, how long it should be and the tone. If the first draft is wrong, tell it what to change rather than starting again. Then check every price, date and measurement yourself.

Save the instructions that work, so you can reuse them next week instead of typing them out again.

Is using AI just cheating?

It is a tool, like a calculator or a van with a decent satnav. The skill is still yours: the diagnosis, the price, the work and the standards. AI saves typing on the paperwork around the job. It does not know the job, so if you would not sign the words yourself, do not send them.

Choosing a tool and what it costs

Which AI tool is best for a plumber?

This guide does not pick a winner. For quotes and messages, any general AI chat app will do, and Copilot, Gemini and ChatGPT can each be used without paying, within limits set out on each tool's own site.

Before signing up to job-management, quoting or call-answering software that includes AI, ask the supplier for written answers on what the AI does, the customer data it uses, where that data is held, whether you can disable it, and how to cancel.

Can AI automate scheduling or dispatch?

What job-management software can do depends on the product, so ask the supplier. Whatever you use, a person should still confirm each booking with the customer, and you decide what counts as urgent. A general AI chat tool can help you write the booking confirmation and the "running late" text once, so you can send them quickly from your phone.

Customer data, calls and receptionists

Is it safe to paste customer details into AI?

Do not paste in anything that identifies a customer: names, phone numbers, emails and addresses, access details such as key safe codes, payment details, or anything you know about their health or circumstances. Refer to "the customer" or "Job 14" instead, then fill in the real details outside the tool once the draft is done.

The ICO, which regulates data protection across the UK, says an individual can be identifiable "either directly or indirectly from one or more identifiers or from factors specific to the individual" (ICO: what is personal data?). That page is flagged by the ICO as under review. For the basics, the ICO has help for small organisations.

Is an AI receptionist worth it for missed calls?

Start with the narrow version: something that takes the caller's message and tells them when you will call back, while you or a colleague answers the actual questions. A text back to each missed call is one simple option; the missed-call text-back job shows how to write one.

A service that answers or records calls for you will be handling your callers' personal data. On the right to be informed, the ICO says: "You must provide privacy information to individuals at the time you collect their personal data from them." The ICO's contracts with processors guidance adds: "every time a controller uses a processor to process personal data, there must be a written contract that binds the processor to the controller in respect of its processing activities." Both pages are marked as under review. Before signing up, ask the supplier how it meets both points.

Quotes, invoices and terms

Can AI write my quotes, and how do I price jobs?

From your rough notes, AI can draft a plain written quote covering the work, the parts, what is excluded, how long the price holds and how the customer accepts. The write a quote job walks through this. The price is yours, from your own costs, rates and the job in front of you. Never let an AI tool set your price, and check every figure before you send.

Can ChatGPT chase quotes that went quiet?

Yes. Tell it which job, when you sent the quote and how you want to come across, then ask for a brief, friendly follow-up with no pressure wording. Decide how many follow-ups you will send, such as one and perhaps a second a little later, and then leave it. Personalise each message yourself before it goes.

Can AI make my invoices (UK)?

It can set out an invoice layout for you, or tidy the wording on an invoice you already use. GOV.UK's page on what invoices must include lists items such as "a unique identification number", "the date of the invoice", "VAT amount if applicable" and "the total amount owed".

On VAT, GOV.UK's page on charging, reclaiming and recording VAT says: "You must register for VAT to start charging VAT." It also says that "invoices must include your VAT number and display the VAT separately". Whether you need to register, and which rate applies, is something to check in HMRC guidance or with your accountant; an AI tool cannot tell you. For a polite reminder when an invoice is overdue, see the chase a late invoice job.

Can AI write my terms and conditions?

It can help you put terms you have already decided into plain English, but it cannot judge whether they are fair or lawful. Consumer law sets the limits. The Consumer Rights Act 2015, in section 62, says: "An unfair term of a consumer contract is not binding on the consumer." Where a contract is made at a distance or away from your premises, the Consumer Contracts Regulations 2013 give the customer this right in regulation 29: "The consumer may cancel a distance or off-premises contract at any time in the cancellation period without giving any reason". Regulation 36 covers starting work during that period.

Updated on 22 July 2026, CMA37: unfair contract terms guidance from the CMA says: "This guidance for businesses will help you to understand what makes terms and notices unfair, and what the risks are if you use unfair terms." Read it, and have your terms reviewed by a solicitor or trade association adviser before you rely on them.

Marketing and reviews

How do I get more plumbing customers?

Customers need to be able to find you and to say yes without fuss. Keep your Google Business Profile up to date, answer enquiries promptly, send clear quotes, and follow up on quotes that go quiet. AI can help you write the profile description, a short page for your website and a polite request for a review after a job you are proud of.

Can AI build my website or do my SEO?

It can draft the words for a simple site from your own facts: the areas you cover, the work you do and do not do, how to contact you, and your registration details if you are Gas Safe registered. Check every claim. Do not let it add services, guarantees, accreditations or areas you do not offer.

How do I reply to reviews on Google and Checkatrade?

Keep replies short and polite, with no customer details. Jot down what happened, then get the tool to draft a reply that thanks the customer, responds to anything they raised and, if it is a complaint, asks them to get in touch directly.

Google says, on its page about managing customer reviews, that "Google reviews your replies". Checkatrade's guide to managing reviews says: "Try and stay within the 600 character limit for the Right of Reply." Read each platform's own rules before you reply.

What are the rules on asking for reviews? (UK)

The fake-review rules in the Digital Markets, Competition and Consumers Act 2024 apply in the UK from 6 April 2025. Under the commencement regulations, SI 2025/272, listed provisions of the Act "come into force on 6th April 2025", "Schedule 20 (commercial practices which are in all circumstances considered unfair)" among them. Practices covered by that schedule include submitting or commissioning "a fake consumer review, or" "a consumer review that conceals the fact it has been incentivised".

For the CMA's explanation, see Fake reviews (CMA208) and Unfair commercial practices (CMA207); the second states: "The UCP provisions apply to practices that take place from 6 April 2025." Checkatrade's own review guidelines say: "You should not incentivise someone to leave a review for you". Make the same request of every customer, with no reward attached, and never write reviews yourself.

Gas paperwork and starting out

Can AI help with landlord gas safety certificate paperwork?

Only with the admin around it: a list of renewal dates you have typed in yourself, a reminder message to a landlord, or a covering email when you send a record. AI must never draft, fill in or pre-fill a gas safety record, a test result or any safety finding, and it makes no safety judgement.

The law and guidance are clear about who does the work. Regulation 3 of the Gas Safety (Installation and Use) Regulations 1998 says that, subject to limited exceptions, no employer shall allow employees to carry out, and no self-employed person shall carry out, "any work in relation to a gas fitting or service pipework" "unless the employer or self-employed person, as the case may be, is a member of a class of persons approved for the time being by the Health and Safety Executive for the purposes of this paragraph." HSE's page on gas safety check records says: "The Gas Safe registered engineer should only issue the record once all of the required checks have been completed." It also says: "Any gas safety check record given to you after 1 April 2009 will only be valid if the engineer is registered with Gas Safe Register."

Starting out: insurance, a business name, first ideas?

AI can help you brainstorm business names and write a first version of your services list from your own notes. Check yourself that a name is not already used by another firm near you before you print anything.

On insurance, one point is set in law. GOV.UK's page on employers' liability insurance says you must get it "as soon as you become an employer" and "to cover you for at least £5 million from an authorised insurer". Which other cover you need, such as public liability, is a question for an insurance broker, not an AI tool.

A worked example: a quote follow-up from your own notes

Example (made up, for illustration only).

A plumber sent a quote a week ago to replace a kitchen sink and taps, and has heard nothing. These are the notes they give an AI chat app, leaving out the customer's name, number and address:

"Draft a brief, friendly follow-up text in plain British English. I quoted last Tuesday to replace a kitchen sink and taps. The quote stays valid for 30 days. I can fit the job in next Thursday. No pressure wording. Do not add anything beyond these notes."

The draft is nearly right, but it slips in "we offer a 10-year guarantee on all work" and "prices are going up next month". Neither is true, so the plumber deletes both. They check the quote date and the Thursday slot against their diary, add the customer's name themselves in their own messages app, and send it.

Each fact in the text came from the plumber, and the plumber approved the wording before it went.

Where to go next

Begin with a single job, for example quotes or the missed-call text. Each job in the AI playbook for plumbers comes with its prompt and the checks to run before sending.

Official sources hold the rules: HSE and legislation.gov.uk for gas safety, GOV.UK and HMRC for invoices and VAT, the CMA for consumer terms and reviews, and the ICO for data.
