Send a text back to every call you miss on a job
Urgent callers rarely leave a voicemail. They ring the next plumber. A quick text back keeps the job yours while your hands are full.
Steps
- Write down your working hours, your area, and what you do and don't cover (for example, no gas work if you're not Gas Safe registered).
- Run the prompt below to write three short replies: during a job, after hours, and a follow-up asking for details.
- In WhatsApp Business, go to Settings, then Business tools, then Quick replies, and save each one with a shortcut like /onjob. Set the after-hours one as your away message.
- When you finish the job, call back anyone who replied. The text holds the job; it doesn't replace the call.
The exact prompt
Write three short text replies for a [UK] plumber who missed a call because they were on a job. Each under 60 words, friendly and plain [British] English. 1. During working hours: sorry I missed you, I'm on a job, I'll call back by [time]. Ask them to reply with their postcode, what the problem is, and a photo if they can. 2. After hours ([hours]): we're closed, our emergency policy is [policy and call-out rate, or "we don't do out-of-hours work"], otherwise we'll call back from [time]. 3. Both must say: if you smell gas, call the National Gas Emergency number [0800 111 999 in Great Britain] now, not us. Don't promise arrival times or prices I haven't given. Sign off [name, business].
✓ Check before you send
- The gas emergency line is in every version.
- Hours, call-out rate and callback time are real and you can keep to them.
- You don't ask for more personal details than you need to call back.
UK notes extra
- Great Britain: National Gas says “Smell gas or suspect a leak? Call 0800 111 999”. In Northern Ireland the gas emergency number is different, so check it with the gas supplier. National Gas: emergency contacts (Great Britain).
- Keep the numbers and details you collect secure, and only for the job. GOV.UK: data protection and your business.
